Payments & Refund Policy

Effective Date: 08/02/2026

1. Overview

Logic Flow HQ provides custom-built automation systems and ongoing service support tailored to each client. Due to the bespoke and implementation-based nature of our services, payments and refunds are handled in accordance with the terms outlined below.

This policy applies primarily to business-to-business agreements.

2. Upfront Setup Fees

Upfront setup payments cover, but are not limited to:

System architecture design

Workflow development

Automation build and configuration

CRM and integration setup

Testing and deployment

Initial onboarding and implementation

Because this work is custom-built, resource-intensive, and allocated specifically to each client, setup fees are non-refundable once work has commenced.

If cancellation occurs before any work has begun, a refund may be issued at the discretion of Logic Flow HQ, minus any administrative or payment processing costs.

3. Monthly Service Fees

Monthly service fees cover:

System hosting

Ongoing maintenance

Monitoring and optimisation

Technical support

Performance adjustments within agreed scope

Monthly payments are non-refundable once a billing cycle has started.

Clients may cancel future billing by providing written notice at least 14 days prior to the next billing date.

Cancellation does not entitle the client to refunds for services already delivered or partially delivered.

4. Cooling-Off Period (If Applicable)

Where a client qualifies as a consumer under UK law, a statutory 14-day cooling-off period may apply.

However, if the client expressly requests that services begin during this period, the right to cancel may be reduced or waived in accordance with applicable regulations.

In most cases, Logic Flow HQ operates on a business-to-business basis.

5. Scope of Services

Refund eligibility does not apply to dissatisfaction arising from:

Changes in business circumstances

Internal operational decisions

Failure to implement or adopt the system internally

Outcomes outside the agreed scope of work

All deliverables and service scope are defined during the onboarding and strategy phase prior to implementation.

Logic Flow HQ provides systems and implementation services, not guaranteed financial results.

6. Resolution Process

If a concern arises, Logic Flow HQ will make reasonable efforts to resolve the matter in good faith prior to any formal dispute process.

We value professional communication and long-term working relationships.
